You can have GridX HMS configured and see your first patient through a complete visit in an afternoon. The system starts small — a base plan with patients, users, and settings — and you switch on clinical and financial modules only as you need them. Here's the path from a blank workspace to a finished invoice.
Register your facility
Head to hms.gridx.app/register and enter your hospital or clinic name, an email, and a password. GridX HMS creates a multi-tenant workspace for you with an auto-slugified URL and seeds the starter data so you're not staring at empty screens.
Your workspace starts in Test Mode. Everything you do here is real but isolated from your live reports, so you can register imaginary patients, run trial encounters, and verify billing before any of it touches your books. When you're confident, you flip to Production in Settings.
Set up your hospital profile
Open Settings and fill in the basics: your facility name, address, phone, and branding (logo and contact details print on cards and invoices). This is also where you set financial rules — token/advance commission percentages, charity/Zakat handling, admission-charge and room-rent services, and how long unpaid room bookings stay open before auto-cancellation.
Create departments, roles, and staff
GridX HMS is built on role-based access control. Create your departments first (OPD, Radiology, Pharmacy, Accounts), then define roles and the permissions each role carries. Add your staff — doctors, nurses, technicians, receptionists, and accountants — and assign each a role. A receptionist sees registration and appointments; an accountant sees only finance. No shared logins.
One time-saver: give each doctor a department. Appointment and session forms then derive the department automatically from the chosen doctor instead of asking again.
Switch on the modules you need
This is where GridX HMS differs from one-size-fits-all systems. The base plan covers patients, users, roles, and settings. Everything else is a module you turn on:
- OPD & Diagnostics for outpatient sessions and prescriptions
- Appointments & Queue for scheduling and check-in
- IPD & Wards for admissions, rooms, and beds
- Pharmacy & Inventory and Item Templates for your dispensary
- Lab & Services for tests and result entry
- Accounting & Invoicing, Insurance & TPA, and Commissions & Shifts for the finance side
Switch on only what your facility runs today. You can add or remove modules at any time as you grow.
Register your first patient
Go to Patients and register one. GridX HMS assigns an auto Medical Record (MR) number and lets you print an ID-1 registration card with a scannable QR code and Code-128 barcode. On the patient's next visit, your receptionist scans that card — or types the MR number — and the record opens instantly.
See a patient through a visit
Book an appointment against a doctor's calendar and check the patient in. Starting the appointment auto-creates the diagnostic session and captures the consultation fee into accounting in one step. The doctor records symptoms and a diagnosis, writes a prescription that pulls from your pharmacy catalogue, and — if needed — orders a lab test or marks the session for admission.
When it's time to bill, the consultation, pharmacy items, lab charges, and any room rent roll into a single invoice that posts to your ledger automatically.
Go live
Once your test encounters look right, open Settings and switch to Production Mode. Your test data is filtered out of live reports, not deleted, so your real numbers start clean.
