Vendor Payment Approvals (New Add-On)
High-value supplier payments are exactly where mistakes and fraud hurt the most. ClearRing now ships a built-in two-person approval ladder for vendor disbursements.
- Set a payment threshold that fits your business. Any vendor payment at or above that amount is automatically parked as Pending Approval — no cash moves, no bank transaction, and no accounting journal is posted until it's reviewed.
- A second authorized approver opens the approval inbox, reviews the payment, and either approves (which disburses the money and posts the journal entry in one step) or rejects it with a reason.
- Every approval and rejection is captured in the audit trail, giving you clean segregation-of-duties and a paper trail for auditors.
Sub-threshold payments still post instantly, so everyday operations stay fast while only the big-ticket disbursements get a second set of eyes. Vendor Payment Approvals is available as a subscription add-on and can be assigned to any tenant from the platform admin console.
Installments & BNPL: Now With Dunning and Credit Control
The Installments (Buy-Now-Pay-Later) module gained a proper collections workflow:
- Automatic dunning — overdue installment plans are escalated automatically so nothing slips through the cracks.
- Customer credit block — customers who fall behind can be automatically blocked from taking on further credit until they settle, protecting your cash flow.
- Self-service customer portal — buyers can log in to view their installment schedule, amounts paid, what's due next, and their outstanding balance, and download a printable receipt — cutting down on "how much do I owe?" phone calls.
Set a down payment, the number of installments, and the due dates; ClearRing tracks each installment separately and flags overdue amounts on the spot.
A Faster, Keyboard-Driven Checkout
Busy counters live and die by checkout speed. This release tightens the POS terminal for high-volume lanes:
- Full cart keyboard navigation — move between cart lines, change quantities, apply line discounts, and remove items without touching the mouse.
- Keyboard shortcuts — hold a sale with F8 and complete a sale with F10.
- Top-sellers quick-add grid — your fastest-moving products (ranked by 7-day sales velocity) are one tap away.
- Live receipt preview — a running receipt pane shows the customer's bill building in real time as you scan.
- Quick customer create — add a new customer straight from the cart without leaving the sale.
The result: fewer keystrokes, shorter queues, and less training time for new cashiers.
Tablet & Customer-Facing Polish
ClearRing's full-screen modes were tuned for real-world hardware:
- Restaurant, Kitchen Display, and Takeaway Queue screens were optimized for tablet tap-targets and landscape layouts.
- Self-service Kiosk was tuned for 1080p portrait displays with larger, more legible product cards and controls.
- Customer-Facing Display (CFD) got a high-contrast, large-type redesign that's easy to read across the counter.
- The public QR menu and customer portal are now genuinely mobile-first, with bigger tap targets and safe-area handling for modern phones.
FBR Digital Invoicing: Action Required Bucket
For FBR Digital Invoice submissions, a new Action Required bucket cleanly separates submissions that have permanently failed and need a human to step in — so your team can focus on the handful of invoices that actually need attention instead of scrolling through noise. Real-time submission, exponential auto-retry, and QR-coded receipts remain unchanged.
Tighter Cash & Workforce Controls
- Cash variance investigation — cashier shift reconciliation now handles over/short amounts with a configurable tolerance, posts the variance to the correct accounting entry, and surfaces a cash-accuracy leaderboard.
- Time & attendance approval — supervisors review and approve attendance before it flows into payroll, closing a common payroll-accuracy gap.
- Subscription dunning — a grace-period banner and automated reminders keep billing healthy, with graceful auto-suspension only after due process.
A More Powerful Multi-Tenant Admin Console
For operators managing multiple businesses, the platform admin console got a major upgrade:
- Add-on assignment matrix — a single tenants × add-ons grid lets the master administrator grant or revoke any module for any tenant in one click. Every new capability above can be assigned this way.
- Bills overview — estimated monthly recurring revenue across all tenants, with active, past-due, and suspended counts at a glance.
- Tenant archive & restore — soft-archive a tenant (hidden from listings, logins disabled) while preserving all data, and restore it later.
- System health dashboard — live status for the database, cache, background job queue, and FBR error rate, refreshing automatically.
- Safer impersonation — when an administrator impersonates a tenant for support, a clear banner shows the active session and a read-only mode is enforced by default, preventing accidental edits to a customer's live data.
