Gift Cards & Loyalty Program in ClearRing POS
Retaining customers costs far less than acquiring new ones. ClearRing POS gives you two powerful retention tools out of the box: Gift Cards for driving immediate revenue and referrals, and a Loyalty Program with tiered rewards that keeps customers coming back. This guide walks you through every screen, from initial configuration to daily cashier workflows.
Part 1 — Gift Cards
Step 1: Enable the Gift Cards Module
Navigate to Settings → Modules and toggle Gift Cards on. You will immediately see a new Gift Cards menu item appear in the left sidebar.
Step 2: Issue a New Gift Card
Open Gift Cards → Issue Card.
Fill in the form:

Click Issue Card. A receipt prints automatically and the card balance is now live in the system.
Tip: You can leave the customer field blank to issue anonymous gift cards for resale.
Step 3: Reload an Existing Card
To top up a card, scan or enter the card number in the search bar, then click Reload Balance. Enter the amount and confirm payment. The new balance updates in real time via WebSocket — any other terminal logged in sees the updated balance immediately.
Step 4: Redeem at the POS Terminal
During a sale, the cashier taps Payment and selects Gift Card as the payment method. They scan or type the card number. The system displays:
- Current balance
- Amount applied to this sale
- Remaining balance after payment
Multiple payment methods can be split: e.g. PKR 1,000 from gift card + PKR 500 cash.
Step 5: Check Balance or Void a Card
From the Gift Cards list, click any card to see its full transaction history. Managers with the gift_cards.manage permission can Void a card (balance zeroed, card deactivated).
Part 2 — Loyalty Program
Step 1: Configure Earn & Redeem Rates
Go to Loyalty → Settings.
Set your earn rate. Example: 1 point per PKR 100 spent. Then configure the redemption rate: 100 points = PKR 50 discount.
Step 2: Set Up Tiers
ClearRing supports up to five loyalty tiers. Click + Add Tier and configure:

Customers are promoted automatically once they hit the threshold.
Step 3: Configure Referral Bonuses
In Loyalty → Settings → Referral, enable Referral Bonus. Set points awarded:
- Referrer (existing customer): 200 points when the referred customer makes their first purchase
- Referee (new customer): 100 points on sign-up
When a new customer is created at the POS, the cashier can enter a Referred By code. Both accounts are credited automatically.
Step 4: Earning Points at Checkout
When a sale is completed for a loyalty customer, points are credited automatically. The receipt shows:
Points earned this sale: +45
Total loyalty points: 1,320
Tier: Silver
The customer can also opt in to receive an SMS or email confirmation.
Step 5: Redeeming Points
At checkout, the cashier clicks Redeem Points. The system shows available balance and the equivalent discount. The customer confirms, and the discount is applied instantly. Points are deducted from their balance.
Step 6: Loyalty Leaderboard
Open Loyalty → Leaderboard to see your top customers ranked by total points.
Use this view to:
- Identify VIP customers worth reaching out to
- Create targeted promotions for near-tier customers
- Export the list for email marketing campaigns
Common Questions
Can a customer combine gift card and loyalty points in one transaction? Yes. At payment, apply gift card first, then redeem loyalty points for any remaining balance. Both instruments work independently.
Does a refund reverse loyalty points? Yes. When a sale is refunded, earned points are automatically deducted from the customer's balance.
Can I limit which products earn loyalty points? Yes. In Loyalty → Settings → Excluded Categories, mark any category (e.g. "Gift Cards" or "Tobacco") as excluded.
